About the Project

Global Fire and Security Ltd required a more accurate and efficient method for processing engineer timesheets. The existing system relied on manual input via Excel spreadsheets or paper forms, which was both time-consuming and error-prone. Inaccuracies in time tracking led to complications in payroll, and engineers often had difficulty recording precise job times and statuses. A digital, automated solution was needed to streamline the process and ensure reliable data collection directly from engineers’ PDAs.

Our Solution

Varciti developed a custom SharePoint-integrated application that automates the extraction and presentation of time data collected from engineers’ PDAs. The new system is user-friendly, cloud-based, and includes tools for both engineers and Field Line Managers (FLMs) to review and export timesheet data.

Key Features of the Solution:

  • Automated Data Extraction:
    Data from the engineers’ PDAs, captured via the CASH system, is automatically exported to a central SharePoint database, eliminating the need for manual entry.
     
  • Engineer Dashboard:
    Engineers can access a secure online portal to view their time records, including:
    • Daily and weekly timesheets
    • Job site details and call numbers
    • Time booked on/off, job duration, travel time
    • Status indicators for sickness, holiday, or callouts
       
  • FLM Export Tools:
    The system includes tools for Field Line Managers to:
    • Export individual or bulk regional timesheets
    • Review trends or discrepancies in engineer reporting
    • Use data to assist with accurate payroll and performance monitoring
       
  • Excel Export Functionality:
    Engineers can generate Excel timesheets directly from the app to submit to their FLMs, maintaining flexibility while improving accuracy.
     
  • Cloud Accessibility:
    The solution is fully cloud-based and responsive, allowing access from desktops, tablets, or mobile devices anywhere.
