About the Project
Global Fire and Security Ltd required a reporting solution to monitor the average time spent by engineers on various types of work, including on-site, non-customer-facing tasks, and travel. Field Line Managers (FLMs) needed a daily summary of individual engineer activity, including absences and job site visits, while executive leadership required weekly and monthly performance summaries broken down by engineer type (mechanical or electrical), highlighting trends in work time, attendance, and job coverage. Accuracy, consistency, and actionable insights were key to the success of the system.
Our Solution
Varciti developed a fully automated, schedule-driven reporting system built on data sourced from engineer PDA usage exported from the CASH system. The system consists of daily, weekly, and monthly reporting modules, each designed to serve different tiers of the organisation with tailored outputs.
Daily Reports for Field Line Managers (FLMs):
- Automated calculation of:
- Total time spent on on-site jobs
- Time spent on non-customer-facing tasks
- Total travel time
- Overall working time
- Percentage of on-site work
- Number of sites visited
- Absence tracking including reason codes (e.g. annual leave, sickness, recovery)
- Delivered via formatted email summaries and Excel attachments to FLMs each morning
Weekly and Monthly Reports for Leadership:
- Excel reports sent to the Head of Service Delivery and Managing Director
- Reports include:
- Engineer performance averages over the period
- Total days worked
- Aggregated site visits and work distribution
- Mechanical vs. Electrical engineer performance segmentation
- Absence breakdown by type and frequency
- Sorted by:
- Lowest average time on site
- Lowest overall working time
- Enabling prioritised review of underperforming or high-variance engineers
